The role
We are looking for an Executive Assistant to work closely with the Founder & CEO of Element Brooklyn.
The core of the job is executive support: managing a calendar and inbox, preparing for meetings, and working with other team members to make sure decisions turn into action. But the role goes well beyond the usual EA responsibilities.
Element Brooklyn is a small but rapidly growing e-commerce company, and our founder is involved in nearly every part of it. We manufacture our own products, sell in three countries, operate a seasonal retail space, host events and workshops, and work with wholesale, hospitality, and brand partners.
You'll have visibility into all of it. On any given week, you might help prepare for a partnership meeting, follow up with a supplier, coordinate an event, organize a trademark filing, or get an urgent package out the door. This is a great role for someone who wants to learn how a growing consumer business actually works.
Schedule and location
You'll work full days in person at our Bushwick warehouse every Monday and Tuesday. The rest of the week will be mostly remote, with occasional in-person tasks, meetings, events, or errands in Bushwick, at the Gallery of Scent in the South Street Seaport, and elsewhere in NYC.
You must be based in NYC and be willing to undertake occasional travel outside the city.
What you'll do
- Own the founder's calendar and inbox and deal with routine messages independently
- Prepare agendas and briefing notes, record decisions, and follow up on next steps
- Keep company administration moving, including accounting, insurance, registrations, vendor accounts, subscriptions, and document requests
- Coordinate press samples, gifting, partner sends, events, popups, and workshops
- Help our Chief Operating Officer, Head of Production and Head of Sales with occasional projects
- Provide personal support with appointments, travel, household logistics, and occasional errands
- Create simple systems and trackers so important information is organized and easy to find
- Take on new projects as they come up
You might be a good fit if you
- Are highly organized and good at keeping track of many moving pieces
- Use good judgment and know what to handle yourself and what to escalate
- Write clearly and can draft correspondence that sounds natural
- Can be trusted with sensitive company and personal information
- Are comfortable following up, chasing answers, and politely protecting someone's time
- Can work with Google Workspace and Slack and quickly learn new software, including AI tools
- Are willing to handle both important projects and ordinary errands without making a distinction between the two
- Like working in a small company where priorities can change quickly
Experience in e-commerce, consumer goods, beauty, fragrance, retail, manufacturing, or hospitality is helpful, but not required. Experience as an EA is also not required; we are more interested in someone who is smart and motivated and willing to learn and has the capacity to grow within the role.
Compensation and benefits
The salary range is $70,000–$90,000 per year, depending on experience, plus participation in our end-of-year performance bonus pool.
Full-time employees are eligible for health, dental, and vision insurance and 401(k) matching.
